Job Description

This position has the overall responsibility of managing all aspects of billing, budgeting and vendor management for Books-A-Million’s Information Technology department. 

Under the direction of the SVP of IT, this position will process all IT invoicing, manage any billing and vendor disputes and coordinate the vendor contract renewals process.  This position also manages both the annual IT departmental budget process and specific project budgeting as well. 

Role and Responsibilities

  • Monthly telecom invoice analysis and validation.
  • Perform invoice analysis to identify errors, discrepancies and opportunities for savings.
  • Maintain telecom inventory database and reconcile telecom inventory to invoicing.
  • Conduct periodic audits to ensure integrity throughout the telecom process.
  • Reconcile and process non-telecom monthly expense, support contract and incidental expense invoices.
  • Present escalation issues, status reports and findings to IT Management.
  • Ensure timely renewal of expiring support contracts.
  • Support Financial month-end closing duties, including preparing and submitting accruals, deferrals, and P&L reconciliation.
  • Prepare and manage annual department budgets with support of department senior managers
  • Follow all company policies and procedures.
  • Minor departmental administrative duties
  • Perform other duties as assigned.


Job Requirements

Qualifications and Education Requirements

  • High school graduate or equivalent GED.


Preferred Skills

  • 1-3 years of related experience in a billing capacity.
  • Excellent written and verbal communication skills.
  • Knowledge of telecom billing preferred.
  • Strong organizational skills.
  • Ability to assess and prioritize workload.
  • An affinity for accounting, numbers analysis and problem-solving skills.


Physical and Environmental Requirements

  • Must be able to sit at a computer or desk for extended periods of time.
  • Must be able to use hands/arms to operate keyboard, telephone and for repetitive motion activities.
  • Must be able to lift objects up to 25 lbs. with or without assistance.
  • Must be able to communicate using speech, sight, and sound with or without assistive device.
  • Must be able to stand, walk, stoop or crouch while performing daily activities of the job.
