Job Description

The Operations Liaison acts as a liaison between business units. Responsible for compiling, analyzing, updating, and reporting a variety of critical American Wholesale Book Company and Books A Million home office data on a daily, weekly, monthly, and ad hoc basis for AWBC. This role includes ensuring AWBC Operations is prioritizing product in order of Merchant need and then recapping to the merchant group the status of all items that are requesting to be worked. In addition, this role supports BAM Transportation in analyzing UPS billing data and collects and analyzes any store issues in relation to AWBC Operations.

Roles and Responsibilities:

  • Monitors Inbound Tracking spreadsheet to ensure that items in the HOT, ADDL Needs, TOP 300, and Events tabs which are provided by the Merchant Ops team are received and shipped in time to make all “in-store need by date”. Works with Inbound, Order Entry, OF, Shipping (Internally), Marketing, Carriers, Vendors, and Geodis (externally) to ensure timely delivery. Updates tracking spreadsheet daily.
  • Reviews Drop Trailer report to provide Inbound with a priority list of drop trailers. Emails list to Inbound Manager and Leads. Follows up to ensure items are stocked in appropriate areas depending on outbound needs. Follows process through its entirety including Order Entry, Order Filling, and Shipping.
  • Updates and maintains the HOT Receiving and HOT 4’s spreadsheet daily. Emails list to Inbound Managers and Leads.
  • Provides tracking information for all items, domestics and international in the Inbound Tracking spreadsheet and communicates any barriers to Merchants and Inbound Operations.
  • Interfaces with all levels of the Merchant organization to collaborate and understand improvement opportunities and best practices for continuing support of the Merchants.
  • Monitors and reports on merchant issues, anticipates merchant communications required to address a change or developing issues.
  • Manages Shipment Help & RF Receiving Help issues and effectively communicates with BAM, 2NC, and YOMO on issues reported. Compiles and updates Shipment Help Issue Log spreadsheet to distribute to AWBC management team weekly.
  • Identifies needs for department process improvements based on analyzed data and store feedback.
  • Works with Transportation Management on route templates daily.
  • Analyzes weekly UPS billing and responsible for coding charges across company GL codes.
  • Assists Vendor Compliance Coordinator in gathering cost and identifying Vendor freight charges.
  • Maintains productive working relationships with all cross-functional areas, particularly Merchandising, Warehouse Operations, Inventory Control, Finance and Store Operations.

 Responsible for additional duties as assigned.

Job Requirements

Knowledge/Skills/Ability/Other

  • Advanced MS Office computer skills, especially advanced Excel
  • Ability to collect, analyze and prepare data in a concise and usable format
  • Ability to communicate clearly in verbal and written format
  • Ability to develop and maintain strong relationships with associates in all departments
  • Excellent problem identification and solving skills

Education/Experience

  • High school diploma or equivalent.
  • BS/BA in Business preferred.
  • 2-4 years of experience in a warehouse distribution environment.

Physical and Environmental Requirements

  • Must be able to sit at a computer or desk for extended periods of time.
  • Must be able to use hands/arms for repetitive motion activities.
  • Must be able to lift objects up to 50 lbs. with or without assistance.
  • Must be able to communicate using speech, sight, and sound with or without assistive device.

Must be able to stand, walk, stoop or crouch while performing daily activities of the job
