Job Description

Reporting to the Facilities Director, the Repair & Maintenance Project Coordinator will provide support in the day to day operation of the stores, cafes, new building and renovations.  Duties may include fielding calls from store personnel and vendors or suppliers, preparing and maintaining spreadsheets, completing reports and performing other tasks as directed.

Roles and Responsibilities

  • Process R&M requests and/or tickets created by the store, completing tracking documentation and directing the request to the appropriate vendor or team member.
  • Maintaining all documentation records and logs daily including ticket/vendor follow ups.
  • Manages expectations for completion on time, within budget and at the highest level of excellence. Partners with Facilities Director to make adjustment in order to remain on track.
  • Assist with invoice tracking and approval.
  • Responsible for preparing and submitting reports related to budget, progress of projects, delays or incidents requiring follow-up
  • Perform on-call coverage as assigned to assist in departmental coverage..
  • Manage multiple projects with deadlines and budget constraints
  • Process detailed Repair and Maintenance projects as directed by supervisor
  • Performs other duties as directed


Job Requirements

Qualifications and Education Requirements

  • Bachelor's degree is preferred – will accept work history equivalent
  • Strong interpersonal and communication skills, with the ability to work alone or as part of a team, are essential
  • Prior experience in Facilities Management including knowledge of building systems, mechanical, electrical, and plumbing equipment, maintenance and repair terminology.

Preferred Skills

  • Excellent verbal and written communication skills to deal with both internal and external customer
  • Demonstrated sense of urgency and ability to prioritize requests while maintaining an attention to detail
  • Knowledge of MS Office products including MS Word and Excel.
  • Strong organizational skills and time management capabilities
  • General Knowledge of Building Systems (Mechanical, Electrical, Plumbing)
