Corporate Administrative Assistant

Books A Million is seeking a professional Administrative Assistant with exceptional organizational and interpersonal skills to join our corporate team. In this role you will be a key contributor to providing a positive experience and adding value to the company by warmly welcoming all visitors to the Corporate Support Center and answering incoming calls, providing a high level of customer service. This role also provides administrative support services for the Merchandising Team.

Job Responsibilities:

  • Answer, screen, and direct incoming general office phone calls.
  • Ensure front office and meeting rooms are guest ready.
  • Greet and direct publishers, vendors, and other visiting guests.
  • Respond to associate inquiries and redirect associate if appropriate or researches topics as required.
  • Appropriately redirects calls to Customer Service on an as needed basis while consistently providing a warm, caring approach to customers who call with a customer service issue.
  • Receive, route, follow up, and reply to all new title acquisition queries.
  • Sort and distribute mail to the appropriate person/department.
  • Sign for certified packages and prepare outgoing mail packages.
  • Prepare and type recurring daily, weekly, and monthly internal reports.
  • Create basic spreadsheets for management review upon request.
  • Manage and arrange meeting calendars for specific events including coordinating invitations for in person and web-based conferences.
  • Special projects as assigned.


Job Requirements


  • Minimum 3 years’ experience as an administrative assistant in a corporate setting.
  • Must have excellent phone manner, solid written and verbal communication skills and be customer service oriented.
  • Strong grasp of proper English, spelling, and written sentence structure.
  • Proficient in usage of Microsoft Office suite including Word, Excel, PowerPoint, and Outlook.
  • Possess superior organizational, time management and administrative skills with ability to multi-task and maintain attention to detail.
  • Able to grasp new concepts and miscellaneous tasks quickly.
  • Adept at solving minor problems and implementing solutions without assistance.
  • Demonstrate strong interpersonal and communication skills.
  • Assist guests and team members in a professional and cheerful manner.
  • Display willingness to learn, take direction well, and be a team player.
  • Show flexibility, dependability, and a positive attitude.


  • Highschool diploma required.
  • This job is in person at the Books A Million corporate office with work hours Monday through Friday from 8am -5pm.
  • Responsibilities of this position require frequent performance of repetitive motions with hands and/or arms. Intermittent lifting is required of 25 pounds or less.
